What information we collect
We may collect information you choose to give us when you contact us, book with us, or work with us. This may include your name, contact details, enquiry details, appointment information, accessibility needs, emergency contact details, GP details where relevant, payment records, and brief counselling notes.
Some information may be special category data, such as information about your health, neurodivergence, sexuality, identity, relationships, or personal circumstances, if you choose to share it with us.
Why we use your information

- To provide counselling, supervision, consultation, or related services.
- To manage appointments, payments, records, safeguarding, and professional obligations.
- To keep the website secure and understand basic website use if analytics are added.
Lawful bases
Our lawful bases may include contract, legitimate interests, legal obligation, and where appropriate, explicit consent. For special category data, we may rely on conditions relating to health or social care, safeguarding, legal claims, or explicit consent where appropriate.
Confidentiality and sharing
Therapy is confidential. However, there are limited situations where we may need to share information, for example if there is a serious risk of harm, a safeguarding concern, a legal requirement, a court order, or a professional/insurance requirement. We may also discuss client work in confidential clinical supervision without sharing unnecessary identifying details.
How long we keep information
We only keep personal information for as long as needed for the reason it was collected, or where required for legal, tax, insurance, or professional purposes.
- Enquiries that do not become clients: 6 Months.
- Client records and therapy notes: 5 years or 30 days after completion of therapy course, whichever is lesser.
- Client names and treatment duration: 7 years after therapy ends.
- Financial records: 6 years.
Where information is stored
Information may be stored in secure email, calendar, clinical notes, payment, accounting, or document systems.
Your rights
You have rights over your personal information, including the right to access it, ask for correction, ask for deletion in some circumstances, object to some uses, restrict processing, and complain about how your data is handled.
Complaints
Please contact us first if you have concerns about how we use your information. You can also complain to the Information Commissioner's Office if you are unhappy with how your concern is handled.
